    Dear all,

We would be grateful for advice/comments on how other trial units handle the issue described below.

    Many thanks,

    Arouna

Subject: Draft email to UKCRC groups to discuss safe transcription of qualitative data

    Dear All

The Pragmatic Clinical Trials Unit in London is supporting a large number of new trials which contain a qualitative data element.  This is usually in the form of an audio interview with participants or healthcare professionals but could also include video data.  We normally use an encrypted recorder to collect the data, which is then uploaded onto our safe haven network and deleted from the recording device.

The issue that we have is that the external staff who do the transcriptions normally use proprietary software and hardware to control the playback of the files (including pedals), and that this functionality cannot easily be made available through our safe haven network.

We are seeking discussion on acceptable ways to get this sensitive trial data transcribed efficiently, without compromising on the security of our trial data. One mooted solution would be to use the safe haven for primary storage but distribute the files to transcribers via approved encrypted data sticks with strong passwords, which were regularly updated in between uses.  Does anyone have any advice to give us on this subject?

    Thanks
